Count down to Live Show
What are some of the things you need to organize before the show? This list should also coordinte with your show's timeline.
- Order awards and other items, noting estimated arrival of each order
- Promote your show.
- Create checklists of all the equipment, paperwork needed to take to the show
- Create piles/areas of what needs to go to the show hall (per day, if applicable)
- Note payment deadlines of payments (e.g., for venue, awards)
- Check off items from outstanding orders as they arrive; follow up on late arrivals
- Travel arrangements for judges, as applicable
- Create some method (e.g., pennies, string) to identify entries to reduce class sizes
- Organize awards, results recording paper, NAN qualification cards per class; one suggestion is to use envelopes
- Create ring identification "banners"
- Create class identification pages (i.e., display on show ring to identify class in the ring)
- Organize volunteers to help with setup, breakdown/clean up
- Create program and reproduce
- Prepare show packet for hand out to each entrant, attendee
- For raffles, auctions, get cash for change, set up merchant/PayPal account, receipt book, purchase raffle tickets, bags
- Food purchase and preparation, as needed
- Horse show lists, registration
- Horse tag generation, as applicable
- Write early thank you notes (include in show packet for attendees)
